We are looking for a Business Manager to support the newly appointed Director of Information. This is a new role which will play a key part in establishing and managing business support functions and ensuring the Director’s office works efficiently, effectively and meets its corporate obligations.

The position will also support the People work-strand of the Archives Relocation Programme (ARP) in the design and formation of the new office. The ARP is tasked with relocating the Parliamentary Archives’ collection, some associated services, and staff from its current home in the Victoria Tower to the National Archives (TNA) in Kew. 2024 will see the ARP complete organisational design work for functions remaining in Parliament.

This is an exciting opportunity for an organised individual to support the establishment of a new office. You will also have an opportunity to work flexibly, such as on a hybrid basis.

You’ll be accountable for/to:

  • Coordinating business and financial planning and reporting for the new office, including liaising with the House of Commons as a shared service.
  • Coordinating risk management, assurance and business continuity plans for the new office.
  • Maintaining office HR information and coordinating inductions and work placements.
  • Providing the secretariat for the Senior Management Team.
  • Coordinating office-wide communications.
  • Provide information management support to the new office, and other duties to enable its effective running.
  • Archives Relocation Programme: Support the design and establishment of the new office in a number of areas, including budget definition, people processes and reporting, inclusion and diversity, business continuity and risk.

What we’re looking for:

  • Experience and understanding of financial and business planning processes.
  • A high level of administrative and organisational capability that can be discharged independently and with initiative, with the ability to manage competing priorities, make timely decisions, adapt to changing circumstances, and maintain a high standard of accuracy when working under pressure/against fixed deadlines.
  • Excellent verbal and written communication skills, including the ability to independently produce documents/reports at a professional standard and represent the new office to internal and external groups.
  • Able to form effective working relationships, develop rapport and trust, engage positively in discussions and take account of others’ views, and work with tact, discretion and impartiality.
  • Excellent digital skills, including the use of Microsoft productivity and collaboration tools and especially Excel and Word, and excellent numeracy skills.
  • Able to identify opportunities, challenges and risks, provide options and recommendations to address a situation, applying judgement and creativity, and working with others, to ensure solutions are fit for purpose.

It would be even better if you had or if you’re willing to learn…

  • Experience or knowledge of risk management and/or business continuity.
